What personal data we collect and why we collect it

Contact forms

We have a contact form on our website so that you can send us a message. Data that you submit in this form is stored in the database of our website and is emailed directly to the owner of the form (i.e. the site author who published the page on which the contact form resides). This email will include the submitter’s IP address, timestamp, name, email address, website, and message.

We will never use data from contact forms for marketing purposes.

Cookies

Cookies are used for all visitors to our website even if you don’t make a booking or submit a form. Please read the separate cookie policy.

Embedded content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website. Analytics

We analyse traffic from our website to understand more about which regions our website visitors come from and how they use our website. We use Google Analytics for this. Please see the next section – ‘Who we share your data with’ – for more information.

Bookings

When you make a booking with us we request and store personal data such as name, address and contact details. We need this data in order to comply with the law and contact you about your booking.

Guest details

When you check in we require that you show a valid identification document for each guest, including children and babies. This applies to Portuguese and non-Portuguese guests.

For non-Portuguese guests (those that do not hold Portuguese nationality) we are required to report your presence and details to the Portuguese Immigration and Borders Service (SEF – Serviço de Estrangeiros e Fronteiras) within 3 week days of arrival. Details required are: Full name, Date of birth, Country of birth, Home address, Country of residence, Nationality, Identity document, Number of document, Issuing country, Date of arrival, Date of departure. We will ask you for these details when you show your ID at check in.

Payments

When you make a card payment to us we need to collect relevant data from you in order to process the payment securely. This includes name, address and credit card number. If you make the payment through a third party such as Booking.com they will collect similar data, depending on the gateway they use, in order to process the payment securely. Please refer to their privacy policy.

Guest book

You accept that any entries you make to an on-site guest book, if available, will not contain personal information or details you would not want disclosed. Any entries containing personal details that may fall into the GDPR may be removed and destroyed.

Who we share your data with

Analytics

We use Google Analytics to understand more about which regions our website visitors come from and how they use our website. This means that if you consent, via the pop up that appears when you navigate to our site, we pass selected data to Google Analytics. We do not share it further to any other third party.

At Google Analytics your data will be handled in a GDPR compliant manner.

If you do not consent via the pop up that appears when you navigate to our site then we do not share any of your personal data with Google Analytics. Please read the separate cookie policy.

Bookings

When you make a booking through our website, over the phone or through any other method, the personal data that you provide will be stored in our Property Management Software (PMS). The PMS that we use is called Sirvoy. The credit card information that you provide in order to secure the booking will be stored in the Sirvoy Vault which offers additional security. Sirvoy’s privacy policy including information about its Vault can be found here. We will not store your personal data on any other system.

When you make a booking through a third party such as Booking.com, you are providing your personal data to them where it is subject to their privacy policy. The third party will then pass your personal data to us where it will be handled as if it were collected directly from our website.

Guest details

We are required to report the presence and details of non-Portuguese guests to the Portuguese Immigration and Borders Service (SEF – Serviço de Estrangeiros e Fronteiras) via a secure online portal. More information is available here

Payments

If you make a card payment to us via this website, or you ask us to make a payment on your behalf which we will do via our website (for example if you pay over the phone), we will use our payment gateway called Stripe. The way that Stripe handles your data is set out in the Stripe privacy policy.

If you make a payment to us via a third party such as Booking.com, your payment details will be handled by the third party and be subject to their privacy policy.

How long we retain your data

Contact forms

 

Data submitted via the contact form on our website is stored for as long as we need it to answer your query.

 

Analytics

Data is kept in our Google Analytics account for up to 24 months.

Bookings

Booking data is stored in Sirvoy, our PMS, not on our website. Booking data will remain in Sirvoy’s system for at least 18 months after the check out date, but may thereafter be erased. See Sirvoy’s privacy policy here.

Credit card details that you provided to secure the booking are erased 30 days after check out, as per the Sirvoy privacy policy. However we may keep the details for longer if you haven’t yet paid for your booking.

Guest details

We keep the details of non-Portuguese guests until check out or three days after check in, whichever is later, so that we can report them to the Portuguese Immigration and Borders Service (SEF – Serviço de Estrangeiros e Fronteiras). After this time we destroy our copy of the details. SEF keep it the details for longer, please see their website

What rights you have over your data

You can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes. It also does not include data held by the third parties listed above apart from Sirvoy.

Where we send your data

Contact forms

 

The contact form submission data — IP address, user agent, name, email address, website, and message — is submitted to the Akismet service (also owned by Automattic) for the sole purpose of spam checking. 

 

Data Synced: Post and post meta data associated with a user’s contact form submission. The IP address and user agent originally submitted with the comment are synced with Akismet, as well, as they are stored in post meta.

How we protect your data

All of the systems that we use to store your personal data, including where we use a third party, are protected by industry standard encryption. We don’t store your personal details on any other system.

What data breach procedures we have in place

In the event of a data breach we will establish the full extent of the breach, notify you within 24 hours of it coming to our attention and take all reasonable precautions to mitigate any potential risk from the breach.

What third parties we receive data from

We receive data from Online Travel Agents that take bookings on our behalf. Upon receipt of the data we will handle it as if it were collected from our website.

What automated decision making and/or profiling we do with user data

None.

Industry regulatory disclosure requirements

We are required to report your presence and details to the Portuguese Immigration and Borders Service (SEF – Serviço de Estrangeiros e Fronteiras). More information can be found on this page under ‘What personal data we collect and why we collect it’.

 

We are required to provide a physical complaints book (livro de reclamações) in the property and a corresponding online version. In the event that you make a complaint the original page (or details if submitted online) must be sent to Autoridade de Segurança Alimentar e Económica (ASAE).
